We are seeking a dependable, organized, and mission‑driven individual to serve as our School Secretary, supporting the daily operations of our school and serving as a welcoming presence for students, families, and visitors.

Position Summary

The School Secretary provides a full range of clerical and administrative support within the school office. This role serves as the primary point of contact for all visitors, callers, and inquiries—ensuring a welcoming, organized, and efficient office environment. The position assists with communication, school events, student records, office equipment, and general administrative support for the principal, assistant principals, counselors, and staff.

Essential Responsibilities

  • Serve as a key member of the school administrative team, partnering with the principal, assistant principals, and school counselors.
  • Organize office processes and maintain confidentiality of sensitive information.
  • Greet and assist visitors and volunteers; track and maintain visitor log.
  • Monitor and record student attendance, absences, and tardies.
  • Answer all incoming calls and direct communications appropriately.
  • Open and close the school office; manage appointments, facility scheduling, and coordination with parish office staff.
  • Manage incoming mail, email communications, and daily office operations.
  • Maintain proficiency in PowerSchool SIS, including:
    • Classroom/homeroom rosters
    • Student records (special education, intervention, resource services)
    • Printing reports
    • Monthly birthday lists
    • Attendance entries
  • Support the school administration with attendance management.

  • Strong organizational and planning abilities.
  • Ability to manage workflow, prioritize tasks, and meet deadlines.
  • Proficiency with Microsoft Office, Google Suite, Canva, and student management systems.
  • Strong interpersonal skills; friendly and service-oriented demeanor.
  • High accuracy in maintaining detailed records.
  • Ability to manage multiple tasks simultaneously.
  • Self-motivated with the ability to work independently.
  • Commitment to fostering the mission of the Catholic Church.

Education & Experience:

  • High school diploma or equivalent required.
  • 1–3 years of office or administrative experience preferred.
  • Ability to comply with the Archdiocese of Indianapolis Code of Conduct.
  • Successful completion of Archdiocese Child Safety Training required.
  • Background check required.
  • Valid driver’s license required.
  • Comfort using and learning office equipment (copier, folding machine, postage machine, digital displays, etc.).
  • Familiarity with ACS software is a plus.
