About the Parish

Saint Lawrence Parish exists to go make disciples of every nation, race, and tongue in the communities of Lawrence, Northeast Indianapolis and Fort Benjamin Harrison.  We are seeking a mission-driven and detail-oriented Executive Assistant to support our pastoral operations, streamline communications, and help us move more into our mission of “Go Make Disciples.”

Position Summary

The Pastoral Executive Assistant provides high-level administrative support to the pastor and staff, manages parish communications, schedules, and records in accordance with diocesan policies and accounting standards. This role requires discretion, professionalism, and a commitment to the values and mission of the Catholic Church.

Administrative Duties

  1. Provide administrative support to the Pastor and Associate pastor and manage their schedules.
  2. Serve as the primary point of contact for Parish office—welcoming visitors, answering calls, and responding to inquiries.
  3. Prepare weekly parish bulletin, announcements, and communications (narthex TVs, Evangelus e-newsletter, myParishApp, Facebook, Parish website and various social platforms). Special Communications as needed i.e. annual Christmas/Easter mailings, worship aids for multilingual Masses).
  4. Maintain parish records, sacramental registers, and filing systems.
  5. Assist in planning and coordinating parish events, meetings, and ministries. Oversee special planning committees as needed.
  6. Support onboarding of volunteers and Safe Parish compliance records.
  7. Point person for initial inquiries for Infant Baptisms, Matrimony, Quinceañeras, Funerals. Provide administrative support and communication with families throughout the preparation process and provide planning/coordination for ceremonies and rehearsals.
  8. Coordinate visiting/substitute/mission priests – dates of visit, church and/or rectory access, transportation if needed.
  9. Maintain the Parish Master Calendar and clergy calendars, contact info for staff and volunteers in key leadership positions
  10. Assist with supply orders for office, sacristy, annual publications for ministries, seasonal items for parish.
  11. Maintain the Mass Intention book.
  12. Maintain and report information for music and scripture licenses required for streaming. Help maintain the YouTube site.
  13. Attend weekly Pastoral Staff Meetings.
     

Qualifications

  1. Experience in administrative support and bookkeeping (parish or nonprofit experience preferred).
  2. Strong organizational skills and attention to detail.
  3. Excellent written and verbal communication abilities.
  4. Ability to maintain strict confidentiality.
  5. Comfort working in a faith-based environment and supporting the mission of the Catholic Church.
  6. Practicing Catholic in good-standing.
  7. High level of professionalism, reliability, and integrity.

Preferred Skills

  1. Familiarity with diocesan policies and parish operations.
  2. Knowledge of office software: Microsoft Office, Microsoft Teams, Outlook etc.
  3. Bilingual (English/Spanish): must be proficient in speaking and writing.
  4. English/Spanish and able to translate between the two languages.

Work Environment

  1. This is an in-person role.
  2. Regular parish office hours, with several evening/weekend responsibilities each month.
  3. Interaction with parishioners, staff, and ministry leaders.
