Our Lady of Fatima Retreat House is seeking a dedicated and organized Guest Services Manager to provide exceptional hospitality to all guests, ensuring a welcoming and well-coordinated experience. This role involves event coordination, facility rentals, marketing efforts, and administrative support for hosted programs.
Responsibilities:
- Extend hospitality to all callers and guests with professionalism and warmth.
- Manage and coordinate the facility's scheduling, ensuring seamless operations.
- Liaise with hosted groups and individuals, assisting them in organizing retreats and events that align with our mission.
- Negotiate and prepare contractual agreements, ensuring accuracy in bookings, room allocations, meal details, and facility usage.
- Act as the primary event coordinator, staying engaged with hosted groups throughout their stay.
- Communicate event details to relevant departments and assist with setup as needed.
- Oversee guest arrivals, welcome presentations, and ongoing support throughout their retreat experience.
- Maintain records of all hosted events, ensuring proper documentation and billing preparation.
- Participate in weekly meetings to discuss upcoming programs, staff assignments, and hospitality needs.
- Organize staff and volunteers for special events, including dining service and facility maintenance.
- Proactively market rental space to local businesses, parishes, religious organizations, and other faith-based groups.
Qualifications:
- Strong verbal and written communication skills.
- Excellent organizational skills with attention to detail.
- Proficiency in word processing and database management.
- Ability to multitask, delegate responsibilities, and prioritize tasks efficiently.
- Ability to maintain confidentiality and collaborate effectively with staff at all levels.
- Flexibility in work schedule, including occasional nights and weekends.
- Bachelor's degree and prior event coordination experience preferred.
- Must comply with the Archdiocese of Indianapolis Code of Conduct and successfully complete Child Safety Training.
- Background screening and a valid driver’s license required.
Working Conditions:
- Computer-based tasks will comprise approximately 60% of the workday.
- Position requires moderate physical activity and occasional lifting of up to 40 pounds.
